Course of Study, MEF Scholarship

The deadline for Scholarship Applications is the first day of each quarter (Jan 1, April 1, July 1, and October 1 by 11:59pm). Students completing any course work during January-March will need to submit their request by January 1st  at 11:59pm.  Likewise, April/May/June classes should be requested prior to April 1st at 11:59pm, July/August/September classes prior to July 1st at 11:59pm, and October/November/December prior to October 1st at 11:59pm. Checks will be mailed directly to the student prior to the course, ensuring the student will have the funds to apply toward their course fee invoice. Requirements

  • For attending Course of Study (COS)
    • Must be a certified candidate, completed Licensing school, and be eligible or under appointment.
  • For receiving a scholarship for COS from Board of Ordained Ministry (BOM), of the North Georgia Conference (NGA) via the Ministerial Education Fund (MEF)
    • Must currently be under appointment and in good standing in the NGA Conference
    • Shall be considered if eligible but not under appointment at the request of the District Superintendent

Course Expectations

2016 Book of Discipline states: ¶319.3: A full-time local pastor shall complete the Course of Study curriculum within eight (8) years and a part-time local pastor within twelve (12). The NGA Conference encourages all local pastors to work toward the completion of the five-year Course of Study within their first five years of ministry.  The General Board of Higher Education and Ministry (GBHEM) guidelines for COS registration is four (4) courses per-year for full-time appointments and two-to-four (2-4) courses per-year for those serving less than full-time. GBHEM does not limit the number of classes a student can take per-year. However, the NGA-UMC will pay for a maximum of six (6) courses during any one appointment year (July 1-June 30). If a student takes more than six (6) he/she shall personally be responsible for all expenses after the sixth course. There is a maximum reimbursement of $300 per-class, and only course fees are reimbursable. If there is one combined fee for the registration and course fees, instead of two different fees, the maximum reimbursement is $300.

Students working toward the completion of Advanced Course of Study (ACOS) are not limited to the number of courses they can complete during a given appointment year. The maximum reimbursement of $500 per-class is available for the completion of Advanced courses. Only course fees are reimbursable.  If there is one combined fee for the registration and course fees, instead of two different charges, then only 80% of the fee will be reimbursable. (Example: The one fee is $500 you would be reimbursed for $400).

Oversight 

At the end of the COS session, grades are sent to The Center for Clergy Excellence and to each District Office.  The successful completion of each course needs to be verified (a grade of C or better is considering successful completion).  If a student does not successfully complete a course (grade of C- or less is not accepted) then the student will repay the entire scholarship amount for that course to the NGA-MEF within sixty (60) days. Additionally, the student will need to retake the course for a grade of C or better. 

If the course(s) for which funds are being disbursed is not taken or successfully completed, then the application (the online registration for funding request) becomes a loan agreement and must be repaid within sixty (60) days.  If you make application for a scholarship and find that you are not going to attend COS, then you must notify the Local Pastor Registrar immediately at MEFApplication@ngumc.org. You will need to cancel the funding request or return the funding if it has already been received. After the repayment of a course that is unsuccessfully completed is paid in full, you may request funding again for that course.

    • I understand that if I start a course and I am not able to complete the course and a grade of W is received, I will repay the entire scholarship amount for the course, as a W is less than a C-. 
    • I will repay the funding within 60 (sixty) days of notification of a grade less than C-, and I understand I may request funding again for that course after repayment is received.
  • I understand and agree that if I have received a scholarship and find that I cannot attend the course, I must notify the Local Pastor Registrar immediately at MEFApplication@ngumc.org. I will return the funding if already received if I cannot attend, or if funding has not been received yet I will cancel my request.
